Accounting & Bookkeeping Administrator

Who are we looking for?

We are looking for a part-time accounting and bookkeeping administrator to join our growing team. We anticipate that you’ll work for 1-1.5 days per week.

We need someone diligent, proactive and process-driven, who can take the initiative to help us improve our financial processes and reporting.

You’ll receive guidance from our experienced Finance Director and Head of Programmes.

You will be UK-based and can work remotely, hybrid or office-based. At our Manchester office you can share unlimited breakfast, hot drinks and snacks!

Responsibilities

  • Day-to-day bookkeeping
  • Reconciling transactions accurately in Xero
  • Creating rules and automations in Xero to improve efficiency
  • Monitoring expenses and ensuring accurate accounting of transactions
  • Administer the payments-side of monthly payroll
  • Ensure bank statements are matched to Xero in a timely and accurate manner
  • Send payment acknowledgements and remittance advice
  • Issue invoices using Hubspot and Xero
  • Make payments and manage bank balances
  • Work with accountant to inform of any relevant updates, and research ways the accounting system can be used better to track and analyse programmes and profitability
  • Stay up-to-date with best practice and collaborate with colleagues to ensure financial compliance.
  • Manage payments, follow-ups, transactions, and data input into Xero and Hubspot
  • Update team training guides for use of company cards, expenses, and related processes
  • Communicate with customers to complete procurement documentation and ensure incoming payments can be made as quickly as possible
  • Research ways to improve financial processes and make them more efficient
  • Support with other financial related projects within the company

Requirements

  • UK-based bookkeeping experience
  • Minimum qualification of AAT Level 4 or equivalent.
  • Excellent working knowledge of Xero
  • Excellent working knowledge of Google Sheets
  • Natural ability to balance professionalism and familiarity.
  • Experience using HubSpot is advantageous.
  • Experience using WordPress is advantageous.

Partnerships Manager

Who are we looking for?

Our ideal partnerships manager will have a clear understanding of the international higher education sector and enjoy building partnerships with staff across a range of functions at UK universities. You will be looking after the commercial side of our existing customer relationships with 30 UK university partners and conduct the sales process for prospective new partners.

We need someone dynamic, who can take on a full workload and give clear direction within a small team.

You’ll receive guidance from experienced Head of Partnerships, our Managing Director and our Director of Academic Strategy. You will work within our Partnerships team alongside a full-time marketing manager, marketing copywriter ad a Creative & Digital Director. You will be supported by a full-time partner account manager.

You will be UK-based and can work remotely, hybrid or office-based. At our Manchester office you can share unlimited breakfast, hot drinks and snacks. We have a preference for candidates who are close enough to Manchester to commute to the office at least once per week.

Key Responsibilities

  • Proactively develop a network of university and government partners, promoting the general interests of Pagoda and our values at all times.
  • Attend relevant sector events and identify new events at which we can develop our network.
  • Approach partner universities to propose conference sessions or enter awards to showcase the partnership and demonstrate our good practice.
  • Develop new and existing partnerships with relevant associations and sector bodies.
  • Create high quality proposals and contribute to bids for new projects.
  • Carefully manage the entire sales process from new lead to signed contract.
  • Complete ongoing commercial account management work with universities in order to maintain the account and develop new business from within the institution.
  • Contribute where necessary as a key contact for selected high-profile university and government partners.
  • Identify new funding streams from the private and public sector in the UK and EMEA regions.
  • Work with our marketing manager and wider partnerships team to ensure marketing activities are conducted to support your work.
  • Work with other members of the team to ensure high quality participant and partner feedback data is gathered to support your partnership development activity.
  • Occasionally assist with online or in-person promotional or pre-departure sessions for students in support of the wider team when required.
  • Create regular reporting for the Head of Partnerships in relation to progress against agreed KPIs.

Requirements

  • A graduate from a UK university with right to work in the UK.
  • Strong knowledge of the international higher education sector.
  • 3+ years of relevant work experience post-graduation.
  • Native-level English speaker.
  • Experience using HubSpot would be advantageous.
  • Outstanding communication skills and professionalism.
  • Leadership experience in a sales, partnerships or business development capacity (even if this is only within a small team).
  • Demonstrable global mindset and interest in other cultures.
  • Natural ability to balance professionalism and familiarity.
  • Experience of an overseas programme during your university studies would be beneficial.

Independent Contractor for Online Programme Delivery

Who are we looking for?

We are looking for an enthusiastic person to assist with student support and the delivery of our online internship programme. The participants will be students and recent graduates from around the world who are undertaking global internships with Pagoda’s host companies.

Do you have what it takes to support the participants to gain the most from their internship, whilst facilitating professional communications with the internship host companies based around the world?

Assisting with the online delivery of the Internship Programme will include the following assignments:

Programme Delivery

  • Onboard participants – Ensuring all onboarding is complete, their time on the programme is enjoyable and that off-boarding is clearly organised and communicated.
  • Focus on ensuring that wrap-around products (such as courses, events, and cultural mentors) are running smoothly and flag any issues facing the delivery of a programme to the respective leads.
  • Regularly post updates in English on the Pagoda Portal and communicate with participants via the portal whenever possible (as well as over email where necessary).
  • Follow up regularly to provide updates on issues, proactively trying to solve them whenever possible. Mediate between the Host Company and the Participant to encourage effective communication where needed during the internship.
  • Respond proactively and sensitively to all check-ins received from the participants and escalate as required internally via the “Extra Support” process.
  • Put participants’ well-being first – ensure that any issues are effectively flagged to first the Head of Engagement and escalated to the Leadership Team as required.
  • Embody Pagoda Values – Ensure a fantastic participant experience; with a focus on cultural exchange, career competency gains and development and personal development.

Data Management

  • Participant data management and general administration tasks.
  • Ensure all application booking documentation is up-to-date, compliant, and comprehensive.
  • Ensure applicant and participant data is managed effectively and in line with GDPR.
  • Respond to all emails within 48 hours and thoroughly document all telephone conversations.

Team Support

  • Report progress to the Head of Engagement regularly and attend team huddles.
  • Assist in creating agendas, giving input to discussions, and making suggestions for overall improvements across the programme.

Details of the Offer

  • Monthly Rate (subject to negotiation):
    Thailand: between 15,950 TBH – 16,250 TBH
    Vietnam: between 10,700,000 VND – 10,850,000 VND
    (based on 20hrs per week)
  • Assignment Duration: 4 months
  • Location: Vietnam or Thailand (time zone preference)
  • Remote work (i.e. home office)
  • Flexible Schedule: The Pagoda team is spread across the world. You’ll be closely working with our Online Delivery team. Ideal working hours would be 3PM-7PM GMT+7 for best communication with participants the the team (20 hours/week).
  • Training, Expenses & Support offered:
